A Beginner's Guide to the Camp Experience
 

Welcome to Crossings...We are excited that you will be joining us this summer at Crossings Camps! Whether this is your first time at Crossings or your first time to ever bring a group to camp, we want to help you. We want to provide some information to help you know what to expect and how to best prepare for an unbelievable summer.We hope Crossings is an unforgettable summer for your students and your adults. After all the preparation for the summer, we expect you to relax at camp and be able to build stronger relationships with your students. Our prayer is that your students cross over from death to life or more fully experience Christ.

Register For Camp

Registering for camp is as easy as contacting our central office at 502-491-7000 or by filling out an online registration form. We will need basic contact information along with the estimated number of people planning to attend camp. (This includes campers and adults.) Keep in mind that we ask groups to bring 1 adult for every 5 to 7 students.

If your group pre-registers before February 14, 2008, your reservation will be held until the deposit deadline (February 14th) without payment. As such, you may drop/add spots anytime before this deadline with no penalty.  If the deposit is not postmarked by the 14th we will move on to our waiting lists. With our weeks already filling up quickly we have started waiting lists; it is extremely important for you to get your deposit in on time.

Note: Groups registering after February 14th may also secure spots at camp. Dates and housing priority will be given to groups with paid deposits.

Advertise Camp!

Get students excited about camp by directing them to the Crossings Website. They can find out all kinds of information about camp by watching promo videos, looking at pictures, and reading newsletters. Put up promo posters and show promo DVDs that may be downloaded from the website. Point out all of the cool activities the students will be able to participate in at camp.

Begin Camp Sign-ups

The timing for sign-ups is up to you, but you will want students to commit early. Find out how many students are coming to camp in the summer and begin collecting a $75 deposit for each person planning to attend.

Plan Fundraisers

Have your students participate in fundraisers to raise money for their camp experience. This will help connect them to the experience, keep them committed, and help them (and parents) pay for camp. Here are a few ideas:

  • Host a church-wide dinner theater and allow students to serve the meal. Proceeds should go to camp.
  • Hold a church-wide baking auction. People can bid on pies, cookies, cakes or breads that ladies in the church volunteer to prepare.
  • Plan a car wash.
  • Host a golf scramble.
  • “Hire a Worker” Saturday. Have church members bid on students to do chores around their houses (raking, pulling weeds, etc.)

Pay Deposits

Groups registering before January 1st, 2008, will be sent a deposit invoice based on the number registered. The $75-per-person deposit will hold spots at camp. This deposit is non-refundable and non-transferable.

After we receive your deposit, you will receive a group leader registration packet in the mail. The packet will provide everything you need to know about coming to Crossings including: Group Leader Packet, Housing Form (age/gender breakdowns), and information on logging in to your personal online account.

Beginning in 2008, Group Leaders will have access to a personal online account that will allow management of contact information, numbers registered, and access to print student forms. You will find more information in your registration packet.

Get the Right Adult Leaders

Not only do students need to get excited about camp, but also the adult leaders who will be participating. Encourage them about their role of building relationships with students at camp to aid in the discipleship process upon their return. Your adults are vital to a students’ experience at camp.

Check your Email

Be on the lookout for three email updates at the beginning of March, April, and May. These email updates will provide information on camp programming, activities, and other important things for you to pass along to your students/adult leaders.

Set up a Parents’ Meeting

Set up a time for a parents’ meeting. Set the time and date a few weeks in advance so parents can make arrangements to be there. This is a great time to talk with parents about what students should bring to camp, informing them about online medical release forms, the students’ POI cards, and any other information and/or paperwork your church might have for you. Get the parents excited, it will help keep the students committed.

Work on Medical Release Forms

Each camp participant (students and adults) must complete an online medical release form to attend camp. This form should be completed online, printed, signed, notarized, and copied. Two copies need to be brought to camp. This process can be time consuming…begin early! You can check to see who has filled them out by checking your online account.

Pay the Final Balance

You will receive an invoice approximately 6 weeks before your scheduled arrival at camp. Final payments MUST be postmarked 14 days prior to your arrival at camp. Groups will be responsible for payment based on these numbers.

You will also receive a Housing Form with age/gender breakdowns. This form should be completed and mailed/faxed back by the two week deadline.

Have Students Fill out POI (Point of Impact) Cards Online

While at camp, your students can expect to be involved in a variety of activities including worship, teambuilding activities, Bible study…and other fun stuff that they are interested in. Students will have the opportunity to complete a form ranking their top activity choices.  Click here for a list of POIs.

Be in Prayer

Oftentimes, we have not because we ask not. Be expectant of what God wants to do in the lives of your students…and in your own life! Ask your church to pray for your specific students and adult leaders. Providing a list of prayer requests will help them to know how to pray. There will be a time during each week of camp for students and adults to gather their offering. Be in prayer now that God will bless the offering and those the money goes to help.

Come to Camp

Welcome to Crossings camp!! Take time to relax and enjoy the experience all while building relationships with your students. Camp is a great place to get away from the distractions of everyday life and focus on relationships with God, with your students, and with your adults. Have fun!

Pre-Register for Crossings 2009

Our prayer is that your experience with Crossings is life-changing and you continue to see the fruit in your students all year round. We would love for you to return to our facilities next year. Please take the time to pre-register with us as we fill up quickly. You can either fill out a pre-registration form while at camp or call the central office upon your return.
